Separate requirements, preferences, references and unknowns

A moodboard or competitor photo can communicate direction but does not grant intellectual-property rights or define a producible specification. A controlled brief names the commercial objective and the fields that samples must resolve.

Define use and market

Record user, environment, service life, destination, sales channel, size or demographic assumptions, target quantity and launch or replenishment context.

Mark source and authority

Identify buyer-owned drawings, licensed artwork, authorized references and confidential files. Do not ask a supplier to copy protected design features without permission.

Separate mandatory requirements, preferred options, acceptable alternatives, references and unknown fields. Every unknown should have a named approval route.

Changing a material can affect seam construction, color, hand, decoration, dimensions, packing and evidence. Option decisions must stay connected to the complete product rather than living as separate chat messages.

Name the approval scope

State whether the sample closes material, fit, construction, function, artwork, color, labeling or packing. Do not treat an early visual mock-up as bulk approval.

Keep one revision record

Connect sample ID, date, material and component references, artwork file, measurement sheet, comments and disposition. Conflicting reviewers should resolve comments before resampling.

Release the production object

A pre-production reference should reflect the approved build and identify any limits, permitted exceptions or evidence still pending before bulk or shipment release.

Protect buyer authorization while making artwork producible

The buyer should provide artwork it owns or is authorized to use. Production files then need method-specific preparation without silently changing the mark, colors or approved presentation.

Confirm authority and use

State ownership or license, permitted products, markets, quantities, term, confidentiality and any destruction or return requirements for samples and overruns.

Prepare method-specific files

Vector paths, resolution, color references, underbase, stitch files, screens, plates, molds or jigs may differ by decoration route. Approve the relevant proof and physical result.

Control placement and durability

Freeze size, position, orientation, substrate, method, appearance and agreed handling or durability conditions. A logo that exists but fails the intended use is not an approved result.

IP boundary: EverBen's ability to produce a design does not establish the buyer's right to use it. Commercial authorization and production feasibility are separate approvals.

Quote the released option mix instead of promising one universal minimum

MOQ, tooling, sample cost and timing depend on material source, color, size, process setup, artwork, component minimums, SKU fragmentation, evidence and packing. They should be confirmed for the current specification and capacity window.

Separate development and unit cost

Pattern, engineering, tooling, screens, samples, testing and artwork preparation may be one-time or revision-dependent; unit pricing reflects the approved production and pack route.

Show the SKU architecture

List quantities by product, material, color, size, artwork and pack. A total order quantity can hide small sub-runs that drive setup or supplier minimums.

State quotation assumptions

Identify included revisions, materials, components, decoration, inspection, packing, trade terms, validity and triggers for requotation. Unknowns should remain open rather than priced as facts.

Reopen affected approvals when a custom product changes

A substitute material, new color, revised size, artwork update, component change or pack adjustment can alter cost, timing, function, appearance and evidence. No change should enter the order through an informal message alone.

Describe the exact difference

Reference the current released revision, proposed field, reason, affected SKUs, remaining inventory and requested timing.

Assess connected decisions

Review material/process compatibility, dimensions, performance, artwork, evidence, cost, MOQ, timing and packing before deciding whether a new sample is required.

Questions buyers ask before opening an OEM or ODM project

What is the practical difference between OEM and ODM?

In an OEM route, the buyer normally owns and provides the controlled product definition. In an ODM or co-development route, a supplier starting point is adapted through buyer-approved decisions. Responsibility, ownership and the released specification should be written for either route.

Can I place my logo on an existing product?

A private-label route may fit when the base product and available materials meet the use. The buyer must own or be authorized to use the artwork, and the decoration, label and packing system still needs sample approval.

How many sample rounds will be required?

The number depends on brief completeness, product novelty, materials, construction, fit, artwork and decision speed. Each round should have a defined purpose and consolidated comments; a fixed universal count would be misleading.

Who owns design files and tooling?

Ownership, confidentiality, permitted use, tooling payment, storage, maintenance, replacement and post-project disposition should be stated commercially before work begins. This page does not replace a written agreement.

Can material or color be changed after sample approval?

A proposed change can be evaluated, but it must not enter silently. The affected material, construction, artwork, evidence, cost, timing and packing decisions are reopened and require the assigned approval.

What makes a customization inquiry quotable?

Provide the route, use, destination, controlled drawing or reference, dimensions, materials, construction, quantities by SKU, artwork, labels, packing, evidence needs and decision date. Mark unknown fields openly.
